This section should answer the following questions:

Chapter 2: Internship activities
This is the main body of your report. During the internship period, the focus of the training may on the
following types of analysis and questions. You do not have to answer all the questions in the list: •
Describe your working conditions and functions, such as: Who is your supervisor (include his/her name
and his/her position); other team members or co-workers and what their functions are to complement
yours.
• Provide a detailed description about the department(s) that the trainee did her/his training with them.

INTERNSHIP SUMMARY
This report is based on my internship at (Prince Sultan Military Medical
City) for my bachelor’s degree at Saudi Electronic University for the year of
2019,2020.
As a trainee in this huge medical organization, I had my internship
for (15) weeks. I have learned many things that refine my administrational
skills. I was trained at Family and Community medicine department as a
Personal Assistant to the director of the department. As a personal assistant,
my duties were handling incoming and outgoing calls and responding
immediately to them. Also, responsible of writing the department letters
including the urgent ones as long as the secret letters along with the memos
and all kind of correspondences. Moreover, I was the one who is
accountable for conducting meetings ( sending invitation letters throw the
email, confirming the attendance a day before the meeting, writing the
meeting’s minutes, and lastly, distributing the meeting’s minutes to all the
attendance).another thing, I was the one who welcome the department’s
visitors who want to meet the director personally and then taking their
information (their names, job title, contacting info, their subject) and
coordinate with the director.

Company Description
Prince Sultan Military Medical City
Prince Sultan Military Medical City (PSMMC) formerly known as
Riyadh Military Hospital is located in Riyadh City, the capital of Saudi
Arabia, considered as one of the most advanced center in the Middle East.
It is located in the heart of Riyadh, at a distance of approximately 20
Kilometers from the city center and easily accessible to the general
population. It is the flagship of the PSMMC Program (Formerly known as RMH
program). PSMMC is the Medical Services Department (MSD) of the Ministry
of Defense and Aviation (MODA).
Prince Sultan Military Medical City was officially established on
December 1978 with only 385 beds as a first phase. Since then it has grown
tremendously. It now includes the main hospital, the southwest corner and
the new southwest corner extension with a capacity of about 1200 beds.
Additional facilities are being built on a regular basis to accommodate the
growing population and their needs and to further enhance the quality of
patient care.

A Word by the Director of Prince Sultan Military Medical
City
Prince Sultan Military Medical City is one of the largest military
medical cities in the Kingdom of Saudi Arabia. It includes all medical
specialties and subspecialties and has become a center of excellence and
reference for all Armed Forces Medical Services Hospitals on many medical
and research matters. It has also had a leading record in many medical
achievements. Thanks to Allah, the unlimited support from the leaders of
this country and the efforts exerted by PSMMC trained medical staff, several
rare and complicated surgeries were performed in PSMMC. These ranged
from adult liver transplantation, pediatric liver transplantation from living
donors, open heart operations to bone marrow transplantation and other
rare operations, some of which were performed for the first time at the level
of the Middle East.
Prince Sultan Military Medical City has achieved quantum and
quality leaps in procuring the latest medical equipment thanks to Allah and
the strong support it has been receiving from the leaders of the nation
headed by HRH Prince Mohammad bin Salman bin Abdul Aziz, Crown
Prince, First Deputy Premier Minister and Minister of Defense who has spared
no effort in supporting this leading medical facility in order for it to be in the

ranks of international military medical institutions in different fields and to
realize an advanced level of efficiency and capability to fulfill its leading
role at times of peace and war.
My colleagues and I in Prince Sultan Military Medical City have the
honor to provide everything that help serve patients in this blessed country.

alike to best benefit from the services provided by Prince Sultan Military

capacity of 385 beds.

Al Kharj Military Industries Corporation Hospital was commissioned with 60
beds.

King Abdulaziz Military Academy was commissioned with 34 beds.
Ever since, the Program is growing consecutively. Below points on the
hospitals’ progress are to mention a few:

As much as 20 dispensaries in the whole of Riyadh Metropolitan Area
in which 3 dispensaries belong to MSD.

Capacity of 1,192 Beds which includes A&E, Delivery, NICU & Theater
+ 48 Dialysis Chairs.

Support for Prince Sultan Cardiac Centre (PSCC) with a capacity of
158 Beds.

I was trained at the main administration office that is accountable of
all of these clinics and centers under the director of family and community
medicine department, Dr. Abdulaziz.
My main tasks were:
1. Writing the department letters, memos, reports in Arabic.
2. Answering phone calls and direct calls and take messages.
3. Responsible for arranging the director weekly appointments
and schedule.
4. Record and type the meeting minutes.
5. Follow up some correspondence that needs to be followed.
Throw my training in such an Important department like this one, I
have gained many good skills that will benefit me in the future.
The most skills I have learned in this period is Teamwork. I was able to
work with my boss, my supervisor, and my co-workers efficiently and in
harmony. We were three girls at the office, one is responsible of the recontracting for doctors and medical stuff under our department. The other
girl was responsible of the doctors’ medical profile. We were covering each
other when we have one absent or during the break time. We have also
schedule our leaves so the work will flow as usual. All three of us agreed that
we help each other whenever anyone of us needed help.
Also, I have learned problem solving technique. As we have
experienced the virus (COVID 19), we had to solve this problem and figure
a solution that will not harm any employee or patient under our
department. we have come up with an idea that all the receiving
correspondence should be online throw the email. All the director meetings

are transferred to be throw the internet. Regarding the patients, we
canceled all the unnecessary appointments and to make sure that our
patients are in good condition, we make a plan that each day some
doctors have to contact the patient and have their appointment virtually.
We have also offer a delivery for the medicine for each patient.
Furthermore, I was able to learn time management skill as I was
working and studying at the same time. I had to meet the deadlines for all
my responsibilities at work as long as my college assignments. I learned to
priorities my duties and made a schedule so I won’t miss any.

complete each other. Dr. Abdulaziz, the director, is the one who made the
decision and represent the family and community department.
Dr. A, the deputy, is responsible of the MSD doctors and he is covering
the director when he has a clinic.
The assistant director for medical affairs, Dr. T, is accountable for all
the medical stuff regarding the doctors, the nurses, their work locations
around different FCM centers.
Under these three doctors I the office manager, Mr. Z, he receive all
the correspondence that comes to the department and then distribute
each one to each doctor. He is also the one who send the correspondence
to the different departments. Furthermore, his office is the first office beside
the door of the department, so one of his duties is welcoming the
department’s visitors and guests. Finally, when we have an annual leave,
sick leave, any other excuse that prevent any one of us to come to work,
we inform him first and then he inform the boss.
Then come the HR coordinator, Miss A, she is responsible of
supervising the recruitment application of FCM medical and non-medical
employees. She also coordinate their interview with the director.
F’s tasks, the financial coordinator, are issuing monthly financial
reports to the director. Also, oversees the control of resources and
expenses, cooperation and coordination with the department record
financial statements.

Under those employees, the personal assistant, ME, Ahlam. My daily
work is to make sure that all the director appointments and letters are done.
The first thing I do when I reach my office is to check the director agenda.
If he has any appointment or meeting I can inform him. Then, I check my
email and respond to all the letters that are send to me by the office
manager. After that, I check the following file, which has the
correspondences that need to take an action from another party.
M, the medical secretary, which has all the re-contracting
documents for our doctors. And she also responsible of extending the
contracts for overage doctors.
Doctors’ coordinator, Mh, has three main things to do. First the clinical
privilege. She has to upload it to the medical profile system. Second, she is
responsible of requesting a work mobile for the doctors form the medical
affairs department. And lastly, she does the declaration forms and also
upload them to the medical profile.
Then, there are two employee who is responsible of sending all the
department correspondences and also receiving them. AS is responsible of
saving all the letters and memos and mails that we receive in our
department. He has an excel sheet with the numbers of each
correspondences to make the search easier. Same thing with Fh, who is
responsible of the sending letters, memos and save them electronically.
Finally, there is AK, who is accountable of filing the hard copy of each
letters and memos and mail whether we send it or receive it.

A comparison between what I have learned throw my journey at the
college of Business administration and what I have encounter at my training
for almost three months and a half is that when you are in the real world
you will face some difficulties regarding dealing with different personalities
and your emotions will sometimes control your actions. Another thing, is
implementing what you have study at the college during the training is
more fun as you are in the middle of the situation whatever it is, you make
the decision which made me feel that I am an important member of this
society. Also, sometime, you will face a problem or a situation where you
did not study it before and this is the first time to deal with such a situations
like this, so here if you are a good business leader and have the ability to
solve the problem you will get throw it. Because here, you are focusing on
making things done and acting according to what is available to you at
that particular time, not like college which you are concentrating on
having good marks only.
